Customer Service Representative - Sales Operations

In the Plasma Control Technologies (PCT) division, we manufacture specialized components that are required for the precise control of plasma processes and are used in the production of memory chips or touch screens for sensors, smartphones or tablets.

 

Job Summary:

This CSR job is located in our San Jose, CA facility, and supports the sales operations functions by processing customer order data including quotations, POs, RMAs, sales orders, order tracking and other related duties. This is in support of capital equipment/electronics products and has customer contact via designated portals and direct customer interaction via phone and email.

 

What you will do:

  • Enter customer master data and quotations into SAP.
  • Process new POs through customer portal and enter sales order into SAP; confirm accurate pricing and tax status.
  • Create intercompany purchase orders for product not produced locally.
  • Work with Planning team for local parts and confirm shipments dates.
  • Regularly update customer portal with confirmed shipping and pricing data
  • Monitor and acknowledge customer demand signals using customer portals within the timeframes as defined in contract or SLAs.
  • Monitor system for expedites, pushouts, or order cancellations.
  • Create Delivery Notes and Transfer Orders for units ready to ship.
  • Generate credit and debit memos for price discrepancies.
  • Create RMA for repairs, and special intercompany documentation for units not repaired locally.
  • Update repair pricing, delivery notes, warranty status in customer portal.
  • Ensure proper handling and closure of purchase orders, service order, customer invoices, and RMAs.

What you bring:

  • Preference for 2-5 years similar experience, in a CSR role supporting customers as part of Sales Operations functions (this is not a call center CSR job).
  • Preferred experience to include any of the following similar roles:  Inside Sales, Order Management, Customer Service.
  • Experience supporting capital equipment sales operations, in the electronics, semiconductor, medical device, or other relevant industry preferred.
  • Other preferred experience includes: customer portal-management experience, invoice reconciliation, knowledge of consignment programs, experience working in a global team structure.
  • Experience working in SAP highly preferred.
  • Proficient skills in MS Outlook and Excel
  • Understanding of common terminology (to include: RMA, PO, invoices, SLA, KPI, pricing, warranty status, etc.).

 

The target salary range for this job is approximately $80,000 to $100,000 annually, based on experience and depth of knowledge.
